Press Release Template
For effective PR
It is a good idea to use a good press release template. There is a set formula which you should generally adhere to in order to be in with a chance of being considered by a journalist. Cut and paste the press release template below into your word processing package and adapt it to suit your needs. Any words in [square brackets] are guidelines to you.
FOR IMMEDIATE RELEASE
[In certain circumstances you may want to delay the publishing of your release if there is time sensitive information. In this case you should replace the above with EMBARGOED UNTIL xx/xx/xxxx]
Put your headline here
[Don't try to be too clever. Keep it short, simple and clear what the release is about.]
City, Date
The first paragraph should tell the reader everything in a concise manner - who, what, when, where. And as an extra precaution, put it to the "so what?" test.
Subsequent paragraphs should include more detail. Remember press releases should not be used to sell your company. Stick to the facts. Keep it relevant and interesting.
A good way to break up the release is in the form of a quote from a key person. The style can be more informal (without resorting to slang) and this is the only place that opinion should appear.
If the release goes on to two pages, use
- more -
Page 2 of 2 [at the top of the next page]
Finish the release with any additional, but relevant, information.
At the end of the release use:
ENDS
Press Enquiries to:
Name, company, position, telephone number
[make sure the person named is one who will be available once the release has been issued and is authorised to speak to the press. You can have more than one contact and it can be internal, or, if appropriate, an external PR consultant.]
Notes to editors
This is where you can provide any background information to your company and products. This helps the editor position you and see the relevance of your business to their readers.
